Inventory manager overview

The Inventory Manager in Inspector Studio helps you track the physical equipment and tools your inspection business owns — inspection equipment, ladders, vehicles, testing devices, and anything else you want to manage as an asset.

What the Inventory Manager tracks

For each item in your inventory, you can record:

  • Item name and description — what the item is and any relevant details (model number, serial number, brand).

  • Category — a way to group items (for example, Electrical Equipment, Ladders, Vehicles, Safety Gear).

  • Condition — current state of the item (New, Good, Fair, Needs Repair, Retired).

  • Assigned to — which team member is responsible for or in possession of the item.

  • Notes — any additional details (purchase date, warranty info, maintenance history).

Getting to the Inventory Manager

Click Inventory in the left navigation.

Adding an item

  1. Go to Inventory.

  2. Click Add Item.

  3. Fill in the item details: name, category, condition, and any notes.

  4. Optionally assign it to a team member.

  5. Click Save.

Assigning items to team members

Assigning an item to a team member records who currently has it. This is useful for:

  • Knowing which inspector has the gas detector when you need it.

  • Tracking who is responsible for maintaining a piece of equipment.

  • Audit trails for expensive or sensitive equipment.

To assign an item: open the item record and select a team member from the Assigned To dropdown.

Updating condition

As equipment ages or is used, update its condition rating to reflect current state. If something needs repair, mark it Needs Repair so your team knows not to rely on it. When equipment reaches end of life, mark it Retired rather than deleting it to preserve the historical record.

Categories

Create categories that match how your business organizes its equipment. Common categories for inspection businesses include:

  • Electrical testing equipment

  • Thermal imaging cameras

  • Moisture meters

  • Ladders and access equipment

  • Vehicles

  • Safety equipment

  • Software licenses and subscriptions

Searching and filtering

Use the search bar at the top of the inventory list to find items by name or serial number. Filter by category or condition to see a subset of your inventory — for example, all items currently marked "Needs Repair."
