Adding and managing contacts
A contact in Inspector Studio represents a person or company you do business with — typically a homeowner, real estate agent, or property manager. Contacts are linked to bookings, so Inspector Studio can track a customer's full history across multiple inspections over time.
Adding a new contact
Click Contacts in the left navigation.
Click New Contact.
Fill in the contact's details:
Name — first and last name, or company name.
Email — used for portal access and outbound messages.
Phone — used for SMS messages and as a reference on reports.
Type — choose Individual for a person, Company for a business.
Click Save.
You can also create a contact on the fly while creating a booking — you do not have to visit the Contacts section first.
Finding an existing contact
Use the search bar at the top of the Contacts list to search by name, email, or phone number. Results appear as you type.
You can also filter the list by contact type or by the date the contact was added.
Editing a contact
Click the contact's name to open their profile.
Click Edit (or click directly on any field that supports inline editing).
Make your changes and click Save.
Changes take effect immediately and appear on all bookings linked to that contact.
Adding multiple phone numbers or emails
A contact can have more than one phone number or email address. On the contact profile, click Add Phone or Add Email to add additional entries. You can mark one as primary — the primary contact method is what appears on reports and outbound messages by default.
Deactivating a contact
If a contact is no longer active but you want to keep their history, you can deactivate them rather than delete them. Deactivated contacts do not appear in search results or booking lookups, but all their past bookings and records are preserved.
To deactivate a contact, open their profile and click Deactivate in the options menu.
Notes
You can add free-text notes to a contact's profile for anything that does not fit a structured field — things like a preferred communication method, a referral source, or a special instruction for future bookings. Notes are visible to your whole team and are not shared with the customer.
