Contact profile and history

A contact's profile is the full picture of your relationship with that person or company. From one screen you can see their details, every booking they have been part of, past messages, and any notes your team has recorded.

Opening a contact profile

Click Contacts in the left navigation and then click the contact's name. If you are already inside a booking, you can click the contact's name anywhere it appears to jump directly to their profile.

What you will see on the profile

Contact details

The top of the profile shows the contact's name, phone numbers, email addresses, and type (individual or company). Click Edit to update any of these fields.

Booking history

The Bookings tab lists every inspection booking this contact has been associated with. Each entry shows the property address, date, and booking status. Click any booking to open it.

This history persists even if a booking is canceled — the record stays so you have a complete picture of past interactions.

Messages

The Messages tab shows the communication history between your team and this contact — emails and SMS threads linked to their bookings. You can start a new conversation from here without going to the booking first.

Notes

The Notes tab holds internal notes your team has added. Notes are not visible to the contact. Use them to record anything useful for future jobs — a preferred appointment window, a referral source, or a known issue with the property.

Documents and agreements

Agreements that the contact has signed across their bookings are accessible from the Documents tab. This gives you a quick audit trail without having to open each individual booking.

Linked properties

If a contact has been associated with multiple properties over time, those properties appear on their profile as well. You can see all the addresses Inspector Studio has on file for that contact and click through to the property record for more detail.

Customer portal access

Contacts who have an email address on file can log in to the customer portal to view their reports, sign agreements, and download documents. Their portal login status shows on the profile. You can also resend a portal access link from here if the contact needs it.
