Contact roles on a booking

A booking can have multiple contacts attached to it — the buyer, the buyer's agent, the seller, a property manager, or anyone else involved in the transaction. Each contact is given a role that describes their relationship to the job. Roles affect what each person can see in the portal and how they are identified in messages and reports.

Available roles

  • Buyer — the person purchasing the property. Typically the primary customer for a residential inspection. Buyers have access to the customer portal to view reports and sign agreements.

  • Seller — the property owner or seller. Sometimes present on inspection bookings, particularly for pre-listing inspections.

  • Buyer's Agent — the real estate agent representing the buyer. Can access the agent portal to view published reports for bookings they are linked to.

  • Seller's Agent — the agent representing the seller.

  • Referral Source — the person or company who referred this booking to you. Tracked for your own business records; does not receive automatic portal access.

  • Other — a catch-all for anyone else involved (property manager, lender, attorney, etc.).

Adding a contact to a booking with a role

  1. Open the booking.

  2. In the Contacts section, click Add Contact.

  3. Search for an existing contact or create a new one.

  4. Select the appropriate role from the dropdown.

  5. Click Add.

You can add as many contacts as needed. A single booking might have a buyer, a buyer's agent, and a seller's agent all listed.

Changing a contact's role

  1. In the Contacts section of the booking, find the contact.

  2. Click the options menu (three-dot icon) next to their name.

  3. Select Change Role.

  4. Choose the new role and save.

How roles affect portal access

The portal a contact can access depends on their role:

  • Contacts with a Buyer or Seller role can access the customer portal, where they see reports, agreements, and booking details.

  • Contacts with a Buyer's Agent or Seller's Agent role can access the agent portal, where they see published reports for bookings they are linked to.

  • Contacts with a Referral Source or Other role do not receive automatic portal access.

The primary contact

One contact is designated the primary contact for the booking. The primary contact is who Inspector Studio addresses messages to by default and whose name appears first on invoices. To change the primary contact, click the options menu next to a contact and select Set as Primary.
