Invoice overview and statuses
Every booking in Inspector Studio can have an invoice attached to it. The invoice is a summary of all charges — services, add-ons, and fees — that is sent to the customer for payment. Here is how invoices work and what each status means.
How invoices are created
An invoice is generated from the booking's line items. When you are ready to bill the customer:
Open the booking.
Scroll to the Invoice section.
Click Generate Invoice.
Inspector Studio pulls in all the services, add-ons, and fees on the booking and creates a draft invoice. Review it before sending.
Invoices can also be created automatically when a booking is created, if that option is enabled in your settings.
Sending an invoice
Once the invoice is in Draft status, you can:
Preview it to see what the customer will see.
Edit any line items before sending (note: edits on the invoice do not sync back to the booking services list, so keep changes consistent).
Send it to the customer via email. The email includes a link to view and pay the invoice online.
When you click Send, the invoice status changes to Sent.
Invoice statuses
Draft — the invoice has been created but not yet sent to the customer. Only visible internally.
Sent — the invoice has been emailed to the customer. They can view and pay it online.
Paid — the full balance has been collected.
Partial — at least one payment has been recorded but the full balance has not been paid.
Canceled — the invoice has been voided. No further payments can be collected against it.
In Collections — the invoice has been flagged as sent to a collections process.
Written Off — the balance has been written off as uncollectible.
Viewing an invoice
You can view the invoice from the booking's Invoice section at any time. Click View Invoice to see the full invoice as the customer would see it.
Invoices are also accessible from Invoicing in the main navigation, where you can see all invoices across all bookings filtered by status, date, or customer.
Editing a sent invoice
After an invoice is sent, you can still edit it if you need to correct a line item or price. Click Edit Invoice and make your changes. The customer's view of the invoice updates immediately — no need to resend, though you may want to message them to let them know something changed.
