Partial payments and payment history

A partial payment is any payment recorded against an invoice that does not cover the full balance. Inspector Studio handles partial payments naturally — each payment is recorded individually, and the remaining balance is always visible.

Recording a partial payment

Follow the same steps as recording a full payment:

  1. Open the invoice.

  2. Click Record Payment.

  3. Enter the amount for this payment (not necessarily the full balance).

  4. Select the payment method.

  5. Click Save.

The invoice status updates to Partial and the remaining balance is displayed prominently. You can repeat this process as many times as needed until the balance is zero.

Why use partial payments

Partial payments are useful for a few common scenarios:

  • Deposit at booking, balance at delivery. Collect a deposit when the inspection is scheduled and the remaining balance when the report is delivered.

  • Installment arrangements. Split the total across multiple payments if you have agreed to that with the customer.

  • Overage corrections. If a previous payment was recorded in the wrong amount, you can record the corrected remainder as a follow-up payment.

Viewing payment history

Every invoice keeps a running Payment History log. To view it:

  1. Open the invoice.

  2. Scroll to the Payment History section.

Each entry shows:

  • Date and time the payment was recorded.

  • Amount collected.

  • Payment method.

  • Reference notes (if any were added).

  • The team member who recorded the payment.

The history cannot be edited after the fact, which keeps it reliable as an audit trail. If a payment was entered incorrectly, record a correcting entry rather than deleting the original.

Paying off the remaining balance

When the customer is ready to pay the remainder, click Record Payment again and enter the remaining balance amount. If the payment covers the exact remaining balance, the invoice status automatically updates to Paid.

Sending balance reminders

If a customer has a partial balance outstanding, you can send them a reminder through Threads. Open the booking and start a message to the customer — you can reference the outstanding balance in the message body.
