Plan limits and what happens when you reach them

Inspector Studio plans include limits on the number of team members and, in some cases, the number of bookings or reports per month. Here is what each limit means and what happens when you approach or exceed it.

Team member limit

Each plan includes a maximum number of active team members. An active team member is any user who can log in — including admins, managers, staff, and inspectors. Deactivated users do not count toward the limit.

If you try to invite a new team member and you have reached your plan's limit, Inspector Studio will prompt you to upgrade before the invitation can be sent.

Checking how many seats you have used

Go to Settings → Billing to see your current team member count vs. your plan's limit. You can also see this in Settings → Team Members — the header shows "X of Y seats used."

Booking and report limits

Depending on your plan, there may be a monthly limit on the number of bookings you can create or reports you can generate. If your plan has these limits, they are shown on the billing page.

When you are close to a monthly limit, Inspector Studio displays a warning so you can upgrade before hitting the ceiling. You will not lose access to existing bookings or reports if you hit a limit — but you will be blocked from creating new ones until you upgrade or the monthly counter resets.

What happens when you exceed a limit

Inspector Studio does not silently cap your work — it notifies you and blocks the action that would exceed the limit, giving you the opportunity to upgrade.

  • Team member limit: invitation blocked, upgrade prompted.

  • Booking limit: new booking creation blocked, upgrade prompted.

  • Report limit: new report creation blocked, upgrade prompted.

In each case, your existing data is safe and accessible.

Upgrading to lift limits

Go to Settings → Billing → Change Plan to upgrade. Upgrades take effect immediately. After upgrading, the action that was previously blocked becomes available right away.

Deactivating unused team members

If you have reached your team member limit but do not want to upgrade, consider whether any current team members can be deactivated. Former employees, seasonal workers who are no longer active, or duplicate accounts are good candidates. Deactivating them frees up seats without losing their history.
