Publishing a report
Publishing a report makes it available to the customer. Until you publish, the report is in Draft status and only visible to your team. Here is how the publishing process works.
Before you publish
Take a few minutes to review the report before publishing:
All required questions are answered (the editor will flag any missing ones).
Deficiencies have clear summaries and appropriate severity levels.
Photos are attached and have captions where needed.
Narratives and limitations are complete and accurate.
The report reads the way you want the customer to experience it.
If any required items are incomplete, the editor will show you a checklist of what needs to be addressed before you can publish.
Publishing the report
In the report editor, click Publish in the top toolbar.
Review the pre-publish checklist if one appears.
Confirm the publish.
The report is now published. Its status changes from Draft to Published.
What happens after publishing
The report becomes accessible to the customer through the customer portal. If they are already logged in, they will see it listed in their portal.
If you have a Conditional set up to notify the customer when a report is published, that message fires automatically.
If you want to send the customer a link manually, you can copy the report link from the booking and send it via email, SMS, or message through Threads.
Sharing the report link
Every published report has a unique, permanent link. To get the link:
Open the booking.
Find the report in the Reports section.
Click Share or Copy Link.
You can paste this link into an email, SMS, or any message. Anyone with the link can view the report — no login required for the public report viewer.
Editing after publishing
You can continue to edit a report after publishing it. The customer's link always shows the current version — there is no "revert" step. If you make significant changes after a customer has already read the report, it is good practice to send them a quick message letting them know the report has been updated.
Unpublishing a report
If you need to take a report down temporarily — for example, to correct an error — you can unpublish it.
In the editor, click the status dropdown at the top.
Select Unpublish (or set the status back to Draft).
The customer's link will no longer show the report while it is unpublished. Republish when ready.
