Setting up email
Inspector Studio sends emails on your organization's behalf — invoices, automated Conditional messages, thread replies. For these to go out from your business name and address (rather than a generic Inspector Studio address), you need to configure your email settings.
Getting there
Go to Settings → Email.
Outbound email (what customers see in their inbox)
Sender name
This is the "From" name that appears in the customer's inbox — for example, "ABC Home Inspections" or "John Smith — ABC Inspections." Use your business name or a combination of your business name and a person's name.
Sender email address
This is the email address shown as the sender. Customers who reply to your emails will reply to this address. It should be a real, monitored inbox — for example, office@abcinspections.com.
Important: Do not use a personal Gmail or Yahoo address as your sender email. These providers block or mark as spam emails sent by third-party services (like Inspector Studio) using their domains. Use your business domain email.
Email domain authentication
For the best deliverability — meaning your emails actually land in customers' inboxes rather than spam — authenticate your email domain with Inspector Studio. This involves adding DNS records to your domain.
In Settings → Email, click Authenticate Domain.
Inspector Studio provides the DNS records you need to add (typically two or three TXT or CNAME records).
Add these records in your domain registrar's DNS settings (GoDaddy, Namecheap, Cloudflare, etc.).
Click Verify after adding the records. Verification typically takes a few minutes, but DNS changes can take up to 24 hours to propagate fully.
If you are not comfortable editing DNS records, your IT person or website host can help. The records Inspector Studio provides are standard and do not affect your website.
Inbound email (customer replies)
When a customer replies to an email from Inspector Studio, their reply needs to route back into your Threads inbox rather than going to a personal email inbox. This is handled through inbound routing.
Inspector Studio provides an inbound email address. Configure your email forwarding or MX records so that replies to your sender address forward to this inbound address. Your IT person or email host can help set this up.
Once configured, customer replies land directly in your Threads inbox and your team can respond without checking a separate email client.
Testing your email setup
After configuring outbound settings, send a test message by creating a thread with your own email address as the recipient. Check that it arrives with the correct sender name, sender address, and formatting.
