Assigning inspectors

An inspector assignment connects a team member to a specific booking so they know which jobs are theirs and so the booking appears on their calendar. You can assign inspectors during booking creation or at any point afterward.

Assigning during booking creation

Step 4 of the booking creation flow lets you select both a date/time and the inspector to assign. The calendar shows each inspector's availability so you can find a slot that works.

Assigning after creation

  1. Open the booking.

  2. Find the Inspector section on the booking overview.

  3. Click Assign Inspector (or Change Inspector if one is already assigned).

  4. Select a team member from the list.

  5. Click Assign.

Only users with a role that can perform inspections (Inspector, Staff, Manager, Admin) appear in the assignment list.

Assigning multiple inspectors

If a job requires more than one inspector — for example, a large commercial property or a trainee shadowing a senior inspector — you can assign multiple people to the same booking. Each assigned inspector sees the booking on their calendar and has access to the report.

To add a second inspector, click Add Inspector after the first assignment is made.

What assigned inspectors see

An assigned inspector sees the booking on their calendar and in their My Inspections list. Depending on their role's permissions, they may only see their own assigned bookings and not the full bookings list.

They can view the property details, access the report editor, and see any agreements or attachments relevant to the job.

Unassigning an inspector

  1. Open the booking.

  2. Click the options menu next to the assigned inspector's name.

  3. Select Unassign.

The booking moves back to unassigned status. Unassigned bookings do not appear on any inspector's calendar, so make sure to reassign promptly if the change was intentional.

Notifications on assignment

If you have automated messages configured, assigning or unassigning an inspector can trigger a notification to that inspector. Check your Conditionals settings to see if assignment notifications are active.
