Understanding booking statuses

Every booking in Inspector Studio has a status that reflects where it is in the inspection lifecycle. Statuses help you filter and prioritize your work and keep your team aligned on what still needs to happen.

The statuses

Unscheduled

The booking has been created but no date or time has been set yet. Unscheduled bookings appear in your bookings list and need a date before they can be confirmed.

Scheduled

A date, time, and inspector have been assigned but the booking has not been confirmed. Think of this as "on the calendar, but not locked in."

Confirmed

The booking is confirmed — the customer has been notified, the inspector is assigned, and the job is locked in. Confirmed bookings are the ones your inspectors should be treating as firm commitments.

In Progress

The inspection is actively underway. This status can be set manually or triggered automatically when the inspector checks in at the property (if your workflow uses check-ins).

Completed

The inspection is done. The report may still be in progress, but the on-site work is finished.

Canceled

The booking has been canceled by you or the customer. Canceled bookings are removed from the active schedule but all records (reports, messages, agreements, payments) are preserved for reference.

How statuses change

Most status changes happen manually — you update the status as the booking progresses. Some status changes can be automated through Conditionals:

  • Setting a booking to Confirmed can automatically trigger a confirmation message to the customer.

  • Setting a booking to Canceled can trigger a cancellation notification if you have that Conditional configured.

Filtering by status

On the bookings list page, use the Status filter to see only bookings in a particular state. Common uses:

  • Filter by Unscheduled to find bookings that still need a date set.

  • Filter by Confirmed to see your upcoming locked-in jobs.

  • Filter by Completed to find recently finished inspections that may need invoicing or report delivery.

  • Filter by Canceled to review a history of canceled jobs.

Status vs. payment status

The booking status reflects where the job is. Payment status is tracked separately on the invoice — a booking can be Completed while its invoice is still Sent (awaiting payment). These are independent.
