Creating and managing agreement templates

Agreement templates are the reusable documents you attach to bookings for customer signature — your inspection agreement, terms of service, limitation of liability, or any other form you need signed. You create templates once and reuse them across every booking.

Where agreement templates live

Go to Settings → Agreements. This is where you create, edit, and manage all your agreement templates.

Creating a new agreement template

  1. Go to Settings → Agreements.

  2. Click New Agreement.

  3. Give the agreement a name (this is what you and your team see — for example, "Standard Inspection Agreement" or "Commercial Terms").

  4. Write or paste the agreement text into the body editor.

  5. Click Save.

The agreement is now available to attach to any booking.

Writing agreement text

The agreement body supports standard text formatting. Most companies paste in their existing agreement text from a Word document or PDF. A few tips:

  • Keep paragraphs short and clearly labeled with headings so customers can read it comfortably on a phone.

  • Include a signature block at the end so it is clear what the customer is agreeing to.

  • Do not include fields the customer needs to fill in (like a date) — the signature captures the date automatically.

Using variables in agreements

You can include variables in the agreement text that are filled in automatically when the agreement is attached to a booking:

  • {{customer_name}} — the primary contact's name

  • {{property_address}} — the property address on the booking

  • {{inspection_date}} — the scheduled inspection date

  • {{inspector_name}} — the assigned inspector's name

  • {{company_name}} — your organization's name

These make the agreement feel personalized without any extra work per booking.

Editing an existing template

Click the template name in Settings → Agreements to open it for editing. Make your changes and click Save. Changes apply to future bookings only — agreements already attached to existing bookings are not retroactively updated.

Multiple agreement templates

You can have as many templates as you need — a different agreement for residential vs. commercial, for 4-Point inspections, for reinspections, and so on. Create separate templates for each situation and choose the right one when attaching to a booking.
