Exporting data

Inspector Studio lets you export your data for external analysis, accounting, backup, or reporting. Here is what you can export and how.

Exporting bookings

The most common export is a list of bookings for a given period.

  1. Go to Bookings.

  2. Apply any filters you want (date range, status, inspector, etc.).

  3. Select the bookings you want to export (or select all).

  4. Click Export in the bulk actions toolbar.

  5. Choose CSV format.

  6. The file downloads to your device.

The CSV includes: booking date, property address, customer name, assigned inspector, services, total amount, invoice status, and booking status.

Exporting contacts

To export your full contact list:

  1. Go to Contacts.

  2. Click Export Contacts from the options menu at the top of the list.

  3. Choose CSV format and download.

The contact export includes: name, email addresses, phone numbers, type, and date added.

Exporting invoices

To export invoice data for accounting:

  1. Go to Invoicing.

  2. Filter by date range and status as needed.

  3. Select the invoices you want and use the Export bulk action.

The invoice export includes: invoice number, customer name, booking date, line items summary, total, amount paid, balance, and status.

Exporting individual reports as PDF

Published inspection reports can be downloaded as PDFs from the report viewer. This is for individual reports, not bulk export. Open the report viewer and click Download PDF.

Data exports and your accounting software

The CSV exports from Inspector Studio are structured to be importable into common accounting and spreadsheet tools. If you use QuickBooks, FreshBooks, or another accounting platform, you may need to do light formatting on the export before import — column mapping varies by platform.

What cannot be exported

  • Report content (questions, deficiencies, narratives) in a bulk structured format — reports export individually as PDFs.

  • Message / thread history in bulk.

  • Template content (templates export individually through the template editor — see Exporting a template).

Requesting a full data export

If you need a complete export of all your organization's data — for migration to another platform or for compliance purposes — contact Inspector Studio support. A full data export can be prepared as a bulk archive.
