Managing multiple contacts on a booking

Most residential inspections involve more than one person — a buyer, a buyer's agent, and sometimes a seller or seller's agent. Inspector Studio lets you attach all of them to a single booking, each with the right role, so everyone gets the right access and communications.

Why add multiple contacts

  • Agents receive the report through the agent portal without you having to forward it.

  • All parties can be included in automated Conditional messages (for example, the confirmation email goes to both the buyer and their agent).

  • Business tracking — linking referral sources gives you data on where your bookings come from.

Adding a second contact

  1. Open the booking.

  2. In the Contacts section, click Add Contact.

  3. Search for the contact or click Create New Contact if they are not in your system.

  4. Assign their role (Buyer, Buyer's Agent, Seller, Seller's Agent, Referral Source, Other).

  5. Click Add.

Repeat for as many contacts as the booking needs.

Setting the primary contact

One contact is the primary contact — the one Inspector Studio uses as the default recipient for messages and invoices. By default, the first contact added is the primary.

To change the primary contact:

  1. Find the contact you want to make primary in the Contacts section.

  2. Click the options menu (three-dot icon) next to their name.

  3. Select Set as Primary.

Who gets automated messages

Conditionals (automated messages) send to contacts based on their role. By default, most automated messages go to the primary contact. If you want messages to go to the agent as well — for example, an "your client's report is ready" notification — you can configure that in the Conditional settings by specifying which contact roles receive each message.

Who can see what in the portal

Each contact's portal access depends on their role:

  • Buyer / Seller → customer portal (reports, agreements, booking details)

  • Buyer's Agent / Seller's Agent → agent portal (published reports for their bookings)

Contacts with a Referral Source or Other role do not get automatic portal access.

Removing a contact from a booking

  1. Find the contact in the Contacts section.

  2. Click the options menu (three-dot icon).

  3. Select Remove from Booking.

This removes them from the booking only — their contact record remains in your system. If they have already signed an agreement on the booking, that signature record is preserved.
