Understanding roles and permissions
Inspector Studio uses a role-based permission system to control what each team member can see and do. Understanding how it works will help you set up your team correctly and adjust access as your business grows.
How roles work
Every user in your organization is assigned a role. A role is a named set of permissions — things like "can create bookings," "can view invoices," or "can edit organization settings." Your organization has four built-in system roles:
Admin — full access to everything, including settings, billing, and team management.
Manager — broad operational access: bookings, contacts, reports, and invoices. Limited access to sensitive settings.
Staff — day-to-day office work: bookings and contacts. No access to billing or financial reports.
Inspector — field work only: their own assigned bookings and the reports attached to them.
Admins always have full access, regardless of individual permission settings.
Customizing role permissions
If the default permissions for a role do not match how your business works, you can customize them.
Go to Settings → Roles & Permissions.
Select the role you want to edit.
Toggle individual permissions on or off.
Click Save.
Changes apply immediately to everyone with that role.
Example: If you want your Staff role to be able to view invoice totals but not collect payments, you can turn on "view invoices" and turn off "record payment" for that role.
Per-user permission overrides
Sometimes one person on your team needs access that differs from everyone else in their role. Instead of creating a custom role just for them, you can set a permission override on their account.
Go to Settings → Team Members.
Click the team member's name.
Use the Permissions tab to grant or restrict specific permissions for that person alone.
Overrides apply on top of their role — so if their role has a permission turned off but you grant it to them directly, they will have it.
A note on the Inspector role
Inspectors are intentionally limited by default. They can see only the bookings they are assigned to and cannot view contacts, invoices, or other inspectors' schedules. This is by design for businesses where field staff should not have access to pricing or customer relationship data. If you have inspectors who also do office work, consider giving them a Staff or Manager role instead.
Custom roles
In addition to the four system roles, you can create custom roles with exactly the permissions you need. Go to Settings → Roles & Permissions and click New Role. Custom roles work the same way as system roles and can be assigned to any team member.
